Camera Club Rules

1. The Club will be called STORRINGTON CAMERA CLUB.

2. The object of the Club is to promote and foster the study, practice and appreciation of Photography by means of meetings, lectures, demonstrations, competitions, exhibitions and such other means as are deemed appropriate.

3. Ordinary membership of the Club shall be open to all those who are interested in photography.

4. Membership of the club implies the undertaking to comply and abide with these rules.

5. The Committee shall be empowered to confer Honorary Membership on those considered deserving of such recognition.

6. The Officers of the Club shall consist of a Chairman, Vice-Chairman, Secretary, Program Secretary, Print Competition Secretary, Projected Image (PI) Competition Secretary and Treasurer, all of whom shall be Honorary and be elected at the Annual General Meeting. At the discretion of the Committee the posts of Print and Projected Image Competition Secretaries may be combined. No member shall hold the office of Chairman for a period longer than two consecutive years, but the retiring Chairman shall be entitled to serve, ex officio, as a member of the committee during the ensuing year, without prejudice to his or her eligibility for election to fill a vacancy. After having relinquished the office of Chairman for a continuous period of not less than 12 months, a previous Chairman will become eligible for a further term in office.

7. The affairs of the Club shall be managed by a Committee consisting of the Officers elected under Rule 6, together with a maximum of two other ordinary members of the Club. The Committee shall have the power to fill any vacancy that may occur during the Club year, and may co-opt additional Members if it is considered desirable. For all Committee meetings five members present shall form a quorum.

8. The selection of images to represent the Club in external events and any selection that may be required in connection with domestic competitions shall be conducted by a selection committee, consisting of up to five members appointed by the Chairman. The members of this selection committee may be selected from any of the club members. In the absence of an appointed Selection Committee the members of the Committee may act in this capacity. Three members shall form a quorum.

9. The Hon. Secretary shall keep the minutes of all General Meetings and all Committee Meetings, and shall be responsible for the general correspondence of the Club.

10. The Program Secretary shall be responsible for presenting to the Committee a proposed program of Ordinary Meetings for the Club year, and subsequently making the arrangements for the administration of these meetings.

11. The Competition Secretary (or Secretaries) shall be responsible for collecting entries for all domestic and inter-club competitions, arranging for these to undergo selection by the Selection Committee when appropriate, presenting the entries to the judge or competition organiser, reporting the competition result to the Committee and/or the Club when appropriate and retrieving the entries.

12. The Hon. Treasurer shall collect all subscriptions and monies as authorised by the Committee. The Hon. Treasurer shall keep proper accounts of all financial transactions and, at the close of the financial year, shall prepare a balance sheet for audit and submission at the A.G.M. An honorary auditor shall be appointed annually. The Treasurer shall also have authority to make payments on behalf of the Club, and to determine, in consultation with the Chairman, (or Vice Chairman, or the Committee) which payments are, or are not, to be made.

13. Accounts in the name of the Club, and all withdrawals thereon shall be signed by the Honorary Treasurer and countersigned by either the Chairman or the Vice-Chairman.

14. The Financial Year of the Club shall end on the first meeting in May. The Annual General Meeting shall be held within four weeks of that date to receive the Report and Accounts for the Club Year then ended, to elect Officials and Committee members for the following year, to fix the annual subscription for the following year and to conduct such other business of which due notice shall have been given. The Agenda for the Annual General Meeting shall be published at least ten days before the Meeting. Members wishing to submit items for consideration to the A.G.M. shall give notice of these to the Hon. Secretary, in writing, at least three weeks before the date of the meeting. Fifteen members or one-third of the membership, whichever is the lower, shall constitute a quorum.

15. The published Program may be altered from time to time as the Committee may consider desirable or expedient. Members shall be given notice of any changes whenever possible.

16. Extraordinary General meetings may be called at the discretion of the Committee if deemed necessary, or at the written request of at least five members of the Club, stating the reason for which it is to be called. At least ten days notice shall be given for an Extraordinary General Meeting and such notice shall be accompanied by an Agenda. Fifteen members or one third of the membership, whichever is the lower, shall constitute a quorum.

17. The Annual Subscription shall be payable at the first meeting of the new season, or at the earliest opportunity thereafter. Any member whose subscription is more than two months in arrears shall be struck off the Register of Members by the Committee. New members joining after the Christmas break shall be charged no more than half the Annual Subscription.

18. A Member may be expelled or asked to resign from the Club at the decision of the Committee. The Committee may request a member to appear before it, provided that where any accusation or charge is made, the Member shall be given full and reasonable opportunity to put forward a defence and bring witnesses at a later Committee Meeting. Any Member expelled or asked to resign shall have the right of appeal to a Special General Meeting called for the purpose. Fifteen members, or one-third of the Membership, whichever is the lower, shall constitute quorum. All Committee proceedings and those of any Special General Meeting called under this rule shall be treated as privileged and confidential.

19. No alterations of, or additions to, these Rules shall be made except at an Annual General Meeting or an extraordinary General Meeting called under Rule 16. The proposed wording of any such alterations or additions shall be included in the circulated Agenda.

20. Any contingency not covered by these Rules shall be dealt with at the discretion of the Committee.

  2. Domestic Competitions

C1.

Every member shall be allotted a code number to be displayed on each print or accompany each digital file entered in a competition, together with the title. All competitions shall be judged anonymously and the member's name shall not appear on the print or projected image.

C2.

There will be a total of 4 print competitions, and 4 digital image competitions during the season, each held on 8 separate evenings.

Entries for each competition shall be limited to three prints or three digital images from any one member, unless otherwise specified.

In the case of the Best of Year Competition, where prints and digital images will be judged on the same evening, only two entries per member will be allowed, but members may enter two prints and two digital images if they wish.

C3.

Unless otherwise specified, all prints or digital images shall have been taken by the entrant within the previous three years. No print or digital image can be re-entered if it has scored 20 points in a previous competition at this Club, and no print or digital image can be entered more than twice in a competition at this Club.

C4.

Entries must be in the hands of the appropriate Competition Secretaries at least two weeks before the Competition date, unless otherwise specified. By choosing to enter any Club competition a member agrees to make any image entered available for selection for external competitions. This does not preclude members from using the image in any other way they choose. Members also agree not to make any image they enter available for another club for inter-club events in which SCC is also involved during the same season. Breach of this rule would disallow any points the Club had gained during that season.

Members also agree that all pictures entered into Club PI competitions will be available for inclusion in the Club Gallery section of the website.

  1. Print Competitions

C5.

All prints must be of a minimum area of 400 square cm. and must be mounted to enable them to be properly displayed. The mount size for all prints shall be 40x50cm, irrespective of the size of the print.

  1. Projected Image Competitions

C6.

Digital images should be submitted on any suitable storage device (preferably on the SCC Pen Drive or similar) and at the current recommended resolution, colour space and format. Separate guidelines will be issued on preparing digital files for projection. Transparencies, correctly spotted & titled, or negatives may be submitted. These will be scanned and the digital files used in the competition. By entering a Projected Image Competition a member agrees to waive copyright to a digital image file solely for the purpose of copying from the submitted media to another computer and for that competition only.

  1. Scoring

C7.

After the sixth competition each member's marks will be totalled to arrive at that individual worker’s score for the year. This score will be entered into the Best Print, and Best P.I. worker of the year competitions. The winner of each competition is the one with the highest total score. The individual worker with the highest overall score, after adding together the Print, and Projected Image score totals, is the ‘Photographer of the Year’.

C8.

This is a separate competition, in which all members are entitled to enter up to two prints and two digital images of their choice, which must have been entered into the current season's domestic competitions.

  1. Inter-Club Competitions

C9.

Entries to represent the Club shall in each case comply with the rules of the particular competition and shall be selected on each occasion by the Selection Committee whose decision shall be final. Advance notice of each contest or competition shall be given, with details of the relevant rules or requirements. The competition secretaries shall then call in all high scoring entries from previous domestic competitions for consideration by the selection committee.

C10.

Without exception, images submitted for competition shall have originated from an image creating device, i.e. a camera or scanner.

C11.

Images which do not conform to the foregoing rules will be liable to disqualification.

C12.

The Officers of the Club will take every possible care of images entrusted to them for whatever purpose, but neither they nor the Club can accept any responsibility for damage or loss which might occur to such images. Submission of an image for competition or other purpose shall signify acceptance of this rule.

C13Any members who have won Club trophies in the past will not be eligible to win the trophies awarded for "Most Improved" Print and PI workers of the year.
